1. Introduction

Check-in PR is a PR, communication and marketing agency based in Bodegraven, The Netherlands. At Check-in PR the privacy and security of our customers, respondents and visitors are of high importance. Check-in PR is committed to protecting the data you share with us. This privacy policy explains how Check-in PR treats the information (Personal Data) in their database that is collected via personal contacts, fairs, events, trade databases, competitions, registration and information requests.
For the purposes of this policy, Check-in PR defines the term “User” as an entity with which Check-in PR has an established relationship, this can be clients, journalists, bloggers, association members, travel and MICE agents and others in this industry.
Any information stored by Check-in PR is treated as confidential. All information is stored securely and is accessed by authorized personnel only. Check-in PR implements and maintains appropriate technical, security and organizational measures to protect Personal Data against unauthorized or unlawful processing and use, and against accidental loss, destruction, damage, theft or disclosure.

2. Collection and use

2.1. In order to provide services to its Users, Check-in PR collects certain types of data from them. Data transferred to Check-in PR by Users such as texts, questions, contacts, media files, etc., remain the property of the User and may not be shared with a third party by Check-in PR without express consent from the User.
Occasionally, with permission, Check-in PR will send information from Users to 3rd parties if necessary to fulfill activities for their own purpose, like the organization of personalized press trips.
During a User’s registration or by contacting Check-in PR or responding to requests of Check-in PR, the User provides information such as name, company name, email, address, telephone, and other relevant data. This information is used by Check-in PR to identify the User and provide them with support, services, mailings, sales and marketing actions to meet contractual obligations.
2.2. Check-in PR Users can at any time access and edit, update or delete their contact details by contacting the Check-in PR team. Check-in PR will not retain User data longer than is necessary to fulfill the purposes for which it was collected or as required by applicable laws or regulations.
2.3. The purpose of collecting Personal Data will vary depending on the activities it is used for.
2.4. All User data collected by Check-in PR will be stored exclusively in secure hosting facilities.
2.5. At any time, the User can request to see or change their personal information. The User can make this request by email to Check-in PR.

3. Specific activities

3.1. Email Newsletters & Media releases
Check-in PR uses an email marketing automation platform used to inform subscribers about clients and news items or to send out media releases. Users can unsubscribe through an online automated process, if they no longer wish to receive specific information, or contact the Check-in PR team directly. Subscriptions are taken in compliance with the European GDPR legislation 2018. All personal details relating to subscriptions are held securely and in accordance with the Data Protection Act.

3.2. Social Media Platforms
Communication, engagement and actions taken through external social media are custom to the terms and conditions as well as the privacy policies held with each Social Media platform respectively.

3.3. Video and photo material
During activities for clients (e.g. media trips, events, meetings etc.) video’s or photos will be taken and can therefore be shared on Social Media. If a User objects he or she can inform the Check-in PR team about this.

4. Data security

The data is stored on a Google platform. Google has been certified compliant with ISO 27018 for Google Cloud Platform products and G Suite. Google is committed to comply with applicable data protection laws. All computers connected to the local network have antivirus software installed and are password protected.

5. Acceptance of these Conditions

We assume that all Users in contact with Check-in PR have carefully read this document and agree to its content. If someone does not agree with this privacy policy, they can contact Check-in PR through the contact person named below. Check-in PR reserves the right to change this privacy policy if necessary.
